Budget by category, not one big number

Estimating a trip "roughly" can understate the total. Splitting the budget into five categories — travel, accommodation, food, activities, contingency — forces you to look at each line and makes the estimate far more reliable.

Contingency can be overlooked. Adding for example 10% of the rest is one optional working rule for a few days away: an extra bag, a late-night taxi, a pharmacy run, a deposit that never comes back.

Announce a per-person cost before you go

Giving a per-person figure when you invite the group prevents nasty surprises and late drop-outs. It is also a way to find out whether the plan holds: at 420 per person some people will say no straight away, which beats a cancellation the night before.

Say clearly what the figure does and does not cover — meals away from the group, souvenirs, drinks — otherwise the announced budget can be exceeded.

From estimate to real tracking

An estimate is no substitute for tracking real spending during the trip. On the ground several people front different amounts, and the cost per person computed here says nothing about who owes whom.

That is exactly what a shared expense group is for: everyone adds what they paid and balances update continuously, without touching the original budget.

Should personal spending be included?

No, keep it out of the shared budget. Souvenirs, extras and meals taken away from the group distort comparisons between travellers and needlessly complicate the maths.

How do I handle a child or a half-price traveller?

This calculator divides evenly. For an uneven split, use the share-based calculator, which lets you set two shares per adult and one per child.

Is the per-person figure rounded?

The headline figure is rounded down for announcing, but the detailed split stays exact: the individual shares add up strictly to the total.
