Splitting holiday expenses with friends

A trip with friends means a stream of small expenses, spread over several days and paid by different people. Here is how to keep the accounts clear from departure to return.

What a trip budget is really made of

Accommodation. Paid in one go, often in advance, by a single person. It's the heaviest cost and the easiest one to record: do it when you book.

Transport. Fuel, tolls, tickets, car hire. Fill-ups pile up and look alike: a description with the day or the route avoids duplicates.

Groceries. The big first-day shop, then the small daily purchases. Those are the ones that vanish fastest from the group's memory.

Restaurants and activities. This is where the group splits up: not everyone goes diving, not everyone was at Tuesday's dinner.

Record during the trip, not afterwards

Reconstructing a week of holiday from memory means a long discussion and a few omissions. Adding an expense on the spot, while the receipt is still in your hand, takes an amount, a description and the people involved.

One useful habit: whoever pays, records. No more complicated rule, and no self-appointed treasurer chasing everyone on the last evening.

From departure to return

  1. 🏖️

    Before you leave

Create the group for the trip, invite everyone, and record the rental and tickets you've already paid for.

  2. 🛒

    During

Each expense is added as it happens, with the right people selected when the group splits up.

  3. 🧮

    Back home

The balances screen shows where everyone stands and the list of payments that brings the group back to zero.

A final breakdown you can read at a glance

At the end of the trip you see the total spent, your share and your balance. Every amount is calculated in whole cents: when an expense doesn't divide evenly, the remainder is spread person by person, with no rounding left hanging.

Pivunio then suggests the payments that settle the group. Those payments happen between you, using whatever methods you already use; the app never moves money.

When the group changes along the way

On a longer trip, friends sometimes join partway through or leave early. There's no need for a second group: just select the right people for each expense, and Thursday's excursion only counts for those who were there.

Frequently asked questions

When should the rental be recorded?

As soon as it's paid, even weeks before departure. It's usually the biggest cost of the trip and the one most easily forgotten when settling up.

What if an activity only involves three people out of six?

You select only the people concerned when adding the expense. It is split between them alone; the others aren't counted.

Does Pivunio handle several currencies on one trip?

A group has a single currency, which all balances are based on. An expense paid in another currency can be recorded with its original currency plus the equivalent amount in the group's currency.
